Adventure Coach Ltd – Terms & Conditions

Effective from: 1 January 2025

This page consolidates the terms for all services offered by Adventure Coach Ltd (trading as The Adventure Coach). By enrolling in any adventure, coaching programme, membership, or retreat, you agree to these Terms. Where a section below differs from the general terms, the section‑specific terms take precedence.


0) Definitions

  • Adventure: Any paid guided activity including the National Three Peaks, Welsh Three Peaks, and future guided events.

  • Coaching: Paid 1:1 or group coaching services (online or in person).

  • Ever Ready Monthly: Rolling monthly membership programme (formerly "Ever Ready Adventure Membership").

  • Retreat: Multi‑day hosted experience combining activity (e.g., hiking, cycling) with accommodation, food, and optional workshops.

  • We/Us: Adventure Coach Ltd (Company No. 15461905).

  • You/Participant/Client/Member: The individual purchasing or attending a service.


1) Guided Mountain Adventures

(Covers the National Three Peaks, Welsh Three Peaks and all future paid guided adventures.)

1.1 Booking & Payment

  1. A place is secured only upon full payment.

  2. Partial/pending payments do not constitute confirmation.

  3. Pay via the method stated on the booking platform or invoice.

  4. All pricing is in GBP (ÂŁ) and includes VAT where applicable.

  5. You must provide correct contact details and ensure you receive pre‑event information.

  6. Where a non‑refundable deposit is specified for an Adventure, that deposit remains non‑refundable even if you choose to pay in full at booking; the deposit portion is deemed to form part of your payment and is only refundable if we cancel the event.

1.2 Cancellation (by you)

  1. >14 days before the start: refund minus ÂŁ50 cancellation fee (admin/permits/logistics).

  2. Within 14 days: no refund.

  3. We recommend personal cancellation insurance to cover illness, injury or unforeseen circumstances.

1.3 Cancellation/Changes (by us)

  • If we cancel due to extreme weather, low participation, safety concerns, or force majeure, you will be offered a full refund or free transfer to an alternative date.

1.4 Participation Requirements

  1. Complete the health & safety declaration before the event.

  2. Arrive in suitable physical condition for the challenge.

  3. We may refuse participation if you are unfit or improperly equipped, without refund.

  4. No illegal substances or alcohol on the mountain or during challenge hours.

  5. Follow guide instructions at all times; failure may lead to removal from the event.

1.5 Environmental Stewardship

  1. Leave no trace.

  2. Pack out all personal waste.

  3. We support Trash Free Trails and may include voluntary clean‑ups.

1.6 Guiding & Insurance

  1. Events are led by qualified professionals (Mountain Leader or higher).

  2. Guides are covered by Public Liability, Professional Indemnity, and Personal Accident insurance.

  3. You are strongly encouraged to hold your own travel/accident insurance (loss of earnings, injury, cancellation).

1.7 Risk & Waiver of Liability

  1. Mountain environments involve inherent risks (slips/trips, weather, falling rocks, exhaustion, altitude, wildlife).

  2. You participate at your own risk and agree not to hold us, our guides, or contractors liable for injuries/losses/damages unless due to proven negligence.

  3. We are not responsible for delays, missed transport, or other external factors.

1.8 Equipment & Clothing

  1. A kit list is issued prior to each adventure.

  2. Mandatory kit must be brought.

  3. We may prevent participation if you are inadequately equipped, without refund.


2) Coaching Services

2A) Adventure Readiness Challenge (12‑Week Programme)

Engagement Terms

  1. Full participation is expected across 12 weeks (weekly tasks, feedback check‑ins, sessions, community engagement).

  2. The service is non‑transferable and must be completed by the registered client.

30‑Day Money‑Back Guarantee
A refund within the first 30 days is available only if:

  • you attended all sessions and submitted all required feedback; and

  • we attempted to resolve concerns collaboratively; and

  • your reason demonstrates the programme no longer serves your needs after full engagement.

2B) 1:1 Bespoke Coaching Agreement

Scope of Service

  • Individualised fitness, nutrition, and mindset plans

  • Private coaching sessions

  • Unlimited message support

  • Access to coaching platform & resources

Minimum Commitment

  1. 6‑month minimum term.

  2. Early cancellation before 6 months may incur a termination fee equal to the remaining balance.

  3. After 6 months, you may exit with 30 days’ written notice.

30‑Day Guarantee (New Clients)
Refund in the first 30 days is available if:

  • you attended sessions and completed feedback;

  • you took all agreed actions; and

  • we tried to resolve concerns and align next steps.

Client Responsibilities

  • Attend scheduled sessions; be honest and proactive in feedback; complete check‑ins; notify us of injuries/health issues; and pay on time per invoice.

Waiver of Liability

  • You accept full responsibility for participating in physical activity; we accept no liability for injuries or illnesses arising from coaching unless due to proven negligence.

Confidentiality

  • Client data, communications and health information are held confidentially and processed per our Privacy Policy. We will not share personal data outside The Adventure Coach team without written consent, unless required by law.


3) Ever Ready Monthly (Membership)

(Rolling monthly membership; previously referred to as “Ever Ready Adventure Membership”.)

3.1 Subscription Terms

  1. This is a rolling monthly subscription.

  2. Payment is taken monthly via your original method unless cancelled.

  3. You may cancel at any time via written notice (email/message).

  4. Cancellation ends all access to resources, sessions and content at the end of the billing cycle.

  5. Access may not be paused or transferred unless expressly agreed in writing.

3.2 Member Conduct & Use

  • Respect community guidelines; no unlawful, abusive or promotional spam activity. Breaches may result in removal without refund.


4) Retreats

(Covers future multi‑day hosted retreats with accommodation, meals and activities.)

4.1 Booking & Payment

  1. A place is secured upon full payment (or per any payment plan we explicitly offer in writing).

  2. Prices are in GBP (ÂŁ) and include VAT where applicable.

  3. Provide accurate contact details and promptly review joining instructions.

  4. Where a non‑refundable deposit is specified for a Retreat, that deposit remains non‑refundable even if you pay in full at booking; only the remaining balance (if any) follows the applicable cancellation schedule.

4.2 Cancellation Policy (Retreats)

When you cancel Refund
30 days or fewer before departure (or no‑show) 0% (no refund)
31–60 days before departure 50% of trip price
More than 60 days before departure 100% minus the non‑refundable deposit and a £50 admin fee

Note: If you chose to pay in full at booking, the non‑refundable deposit portion remains non‑refundable (see Deposits & 'Pay in Full').

4.3 Participation, Wellbeing & Conduct

  • Complete any required health questionnaire; disclose allergies/dietary needs.

  • Follow guide/host instructions; no illegal substances. Alcohol only in moderation and never before/during active sessions.

  • We may refuse participation if you are unfit, disruptive or inadequately equipped, without refund.

4.4 Accommodation & Rooming

  • Standard occupancy is twin/double; single rooms may require a supplement and are subject to availability.

  • You are responsible for any damage you cause to rooms/property.

4.5 Itinerary & Inclusions

  • Retreat schedules may change (weather, access, supplier issues). Inclusions are as described on the retreat page/confirmation. Optional extras are payable locally unless stated.


5) General Terms (apply to all services)

5.1 Payments & Currency

  • Payments are taken in GBP (ÂŁ) unless stated; you are responsible for any bank/FX charges.

  • Deposits & 'Pay in Full': Where a product specifies a non‑refundable deposit, that deposit remains non‑refundable even when you pay the full amount at booking. The deposit portion is deemed taken first and is refundable only if we cancel the service.

5.2 Insurance

  • For Adventures and Retreats, you are strongly encouraged to hold personal travel/accident insurance (including cancellation). Some events may require insurance as a condition of participation; where mandatory, you must provide policy details before departure.

5.3 Force Majeure

  • We are not liable for failure/delay where caused by events beyond our reasonable control (e.g., severe weather, natural disasters, public health measures, strikes, war, civil unrest, government restrictions, supplier failure). We may alter or cancel services; remedies may include refunds, credits or transfers as reasonably available.

5.4 Liability

  • We will act with reasonable skill and care. To the fullest extent permitted by law, we are not liable for (a) indirect or consequential losses; (b) loss/damage to personal property or bicycles unless due to our negligence; (c) actions/omissions of third‑party suppliers; (d) risks inherent to outdoor activity which you accept by participating. Nothing limits liability for death/personal injury caused by our negligence.

5.5 Health & Age

  • You must be 18+ (or accompanied by a parent/guardian with our prior written consent). You are responsible for ensuring you are medically fit for participation and for declaring relevant conditions.

5.6 Data Protection & Confidentiality

  • We process personal data in line with our Privacy Policy and applicable UK data protection law. We only collect what we need to run the service and share data with essential suppliers. You may request access/correction/deletion subject to legal bases.

5.7 Communications

  • We will communicate via the email/phone provided at purchase. Please check spam and ensure you can receive our messages.

5.8 Changes to Terms

  • We may update these Terms; the Effective from date will change when we do. Continued use constitutes acceptance of updated terms.

5.9 Governing Law & Jurisdiction

  • These Terms are governed by UK law and disputes are subject to the UK courts.
